Free quote for promotional products: getting it and reading it
Requesting a quote for promotional products often means forms, waiting and chasing. At VektoPrint, the price is displayed live while you configure your product, and the quote can be downloaded immediately, free of charge and with no obligation. This guide shows you how to get it, how to read each of its lines, and how to compare several offers on a truly equivalent basis.
An instant quote, with no form and no waiting
The principle is simple: the configurator calculates the price with each choice you make. Product, marking area, technique, number of colours, quantity: as soon as a parameter changes, the total updates. When the configuration suits you, the quote can be downloaded on the spot.
This way of working has two advantages. First, you do not wait for a sales rep to process your request manually. Second, you can test several scenarios in a few minutes: one colour fewer, a higher quantity tier, another model from the same family. Each variant produces its own quote, which you can submit internally or set against the others.
The quote is free and commits you to nothing. It uses the catalogue prices as recorded in our management system, without manual re-entry: what you see on screen is what appears on the document. For a particular need — a tight date, a request outside the catalogue — write to contact@vektoprint.com and say so.
The steps in the configurator
A reliable quote is built in order:
- Choose the product in the catalogue, checking the material, dimensions, colours and minimum quantity on the product page.
- Select the marking area: each is defined with its exact dimensions, and its real template is displayed.
- Choose the technique from those actually possible on this area, then the number of colours.
- Upload your file: the tool automatically checks the resolution, the colour count and any overflow of the area, then calculates the real dpi of an image at its print size.
- Enter the quantity while looking at the volume pricing grid.
- Download the quote.
Uploading the file early has a concrete benefit: a non-vector file or one colour too many is detected before the order, not after. The proof, also generated in the configurator at actual scale, shows you the exact result of your marked product.
Reading each line of your quote
A quote for promotional products is read line by line. Here is what each one should tell you:
- The product: reference, colour and quantity. Check that the quantity is indeed that of the intended tier.
- The marking: technique, area, number of colours. A second area appears as a separate marking.
- The check of your print: our team reviews your artwork and your proof before manufacturing. It is included in every order, with no extra line on the quote.
- The amounts excl. VAT: all our prices are excl. VAT.
- VAT: it depends on the country of delivery and your status; with a valid intra-EU VAT number, the reverse charge applies.
- The lead time: it depends on the product and the process, and runs from the approval of the proof.
If a line surprises you, go back to the configurator and change the parameter concerned: you will immediately see its effect on the total, and you will understand where the difference comes from.
Comparing promotional products quotes without getting it wrong
Comparing two quotes only makes sense if they describe the same thing. Before putting two totals side by side, check point by point:
- the same quantity, since prices are degressive;
- the same number of colours and areas, because each colour and each area weighs on the marking;
- the same technique: laser engraving, screen printing and digital printing offer neither the same result nor the same durability;
- a proof planned before production, which is binding in the event of a dispute;
- the starting point of the lead time: the order, or the approval of the proof;
- the delivery method and parcel tracking.
A lower quote may hide a less extensive marking, a product in another material or a missing approval step. Conversely, a higher quote may include a human check that avoids a failed run; at VektoPrint, it is included in every order. The Lead times and delivery page details our steps, from the proof to dispatch.
From quote to order
Once the quote has been approved internally, the order is placed online. Payment is by bank card, with a card pre-authorisation taken when you order and only charged once the proof is approved; public bodies can pay against a purchase order, which simplifies the purchasing processes of local authorities.
Next comes the proof: the preview of your marked product, at the actual scale of the template, which you approve before production starts. Once approved, it is binding. It is also the moment when the lead time starts to run.
A few reflexes to turn the quote into an order without a hitch: keep the quote file with your internal purchase order, have the artwork approved by the person who holds the brand guidelines: our team then checks every print before manufacturing. For an overview of prices by family, see the guide to corporate branded merchandise prices. Common questions are gathered in the FAQ.
Questions fréquentes
Is the quote really free?expand_more
Yes, it is free and with no obligation. It can be downloaded immediately from the configurator, once you have chosen your product, your marking and your quantity.
Can the price change after the quote?expand_more
The final price is the one confirmed on your quote. If you then change the quantity, the number of colours or areas, the configurator recalculates the total and you download a new quote.
Can I pay against a purchase order?expand_more
Yes, for public bodies. Other customers pay by bank card, with a card pre-authorisation taken when they order and only charged once the proof is approved.
Is the lead time shown on the quote?expand_more
Yes. It depends on the product and the marking process, and runs from the approval of your proof, not from the order.
What if my need is urgent?expand_more
Say so by writing to contact@vektoprint.com when you order: we will tell you what is realistic. Also approve your proof without delay, as the lead time runs from that approval.
